The War Memorial Building

The War Memorial Building offers an ideal location right in the center of Historic Shepherdstown. A full catering kitchen, a lift to the second floor, a ballroom known widely as a great dance floor, use of tables and chairs at no extra cost makes renting here a very practical choice.

We make The War Memorial Building available to the community and civic organizations at a heavily discounted rate as a large part of our “Service to the Community” policy. We also offer the building to individuals and organizations at very reasonable rates. Because we are not a commercial operation, we have some rules and regulations, and rental of our facility requires some acceptance and cooperation.

First Floor

The Gallery Room is on street level perfect for an art show (ask about our hanger system) or a cocktail party! It includes a 1,370 sq. ft. hall and accommodates up to 100 people.

Second Floor

The Grand Ballroom has 20 foot ceilings and 1,786 sq. ft. of elegance! The tables and chairs are stored out of sight. This room can easily accommodate 120 guests.

When determining the amount of time for your rental it is important to include setup and cleanup time in your total calculation of rental time. There should be no expectation of early access or delaying cleanup after the event. In the event that additional time is used, the applicable hourly rate will be deducted from the refundable security deposit.

Discounts are given for civic organizations and non-profit service clubs. Please contact the Rental Manager to determine eligibility. Discounts are applied after the standard rental rate is applied.

  • Food Service (meals, receptions, etc…) requires a minimum 4 hour rental.
  • The charge for access or use of the kitchen is $75 per event day.
  • Full payment of all rental fees is due at the time of booking. Please review the CANCELLATION POLICY for the conditions under which these fees might not be refunded.
  • Additionally, a refundable security deposit of $150 is required for all users and all events. This deposit is fully refunded if the building has been properly used and cleaned (See User’s Checklist). An additional refundable security deposit of $100 and the Alcohol Addendum is required if alcohol is served.
  • Two separate payments are required to secure the reservation: one check or PayPal transaction for the total rental fee for use of the building, and one check for the one or two security deposit(s). A signed Rental Reservation Agreement and, if applicable, Alcohol Addendum must accompany deposit checks.
  • Alcoholic beverages are not permitted UNLESS: (1) A signed Alcohol Addendum LINK to the lease is submitted and approved; and (2) An additional refundable security deposit of $100 is paid.
  • As part of its mission to provide community service, the SCC offers civic and non-profit organizations a discount from the published rate, upon written application to the SCC Board of Directors. The 501(c)3 number of the organization must be included in the application. If you believe your organization may qualify for a discounted rate, please discuss with the Rental Manager how to submit application.

Procedure for Renting the War Memorial Building

If you like what you see, and you’re interested in renting The War Memorial Building for your event, please review the procedure below.

Check the event calendar. Determine if your desired date is available. Note that events are not posted on the calendar until SCC receives a signed rental agreement AND applicable payments.

Contact the Rental Manager using our Reservation Request Form or call 304-876-3323 and leave your name and phone number with the date and nature of your proposed event.

If a pending reservation has been received for the date you want, the Rental Manager will provide the other party with the opportunity to secure their reservation by paying the full amount of rent due or the date will be released.

Once you have agreed with the Rental Manager on a date and rate, print out the Rental Agreement, Alcohol Addendum (if applicable) and User Checklist.

The rental is not confirmed and entered on the calendar until the security deposit and rental fees have been received.

The Rental Manager will confirm your request and payments – preferably by email or phone.

Renters may pick up the building keys from the Rental Manager by prior arrangement.

Note that the Kitchen Access payment is necessary to obtain the key to the Kitchen where the sinks, water, and other facilities are located. Even if your event does not require actual cooking we have to keep the kitchen locked and limit access for liability considerations. Again, thank you for understanding.

Complete the User Checklist and return it to the Rental Manager in person or by mail. No deposits will be returned without a completed User Checklist.

Cleanup is the responsibility of the renter. If necessary, the SCC reserves the right to deduct from the deposit such direct cleanup costs as charged by our cleaning service to make the WMB ready for the next event. Thanks for your cooperation.

A Brief History of The War Memorial Building

1945
The club began negotiations in 1945 with the trustees of the Southern Methodist Church to purchase the building the Church had recently vacated. The building, constructed in 1868-69, occupies the front half of Lot 21 of Thomas Shepherd’s original town plat.
1947
In 1947, the purchase of the Methodist Church building was finally completed at a cost of $7,000, and the building was renamed the “War Memorial Building” in recognition of those who had lost their lives during World War II.
1948
The Club began making improvements to the War Memorial Building in 1948, adding a furnace, restrooms, and a kitchen. From that time forward, the building has continued as a major venue for community meetings of all kinds.
1974-1975
In 1974, the Club launched a 3-year program to upgrade facilities at the War Memorial Building, including a new kitchen. A fire damaged the upper floor of the War Memorial Building on January 15, 1975. The community responded with donations of money, labor, and materials to repair the damage.
1990
In 1990, with about $45,000 in hand from a Capital Fund Drive, the Club undertook a series of building renovations that continued over the next several years. The renovations of the War Memorial Building included updating the kitchen and restrooms, an exterior facelift, painting, and electrical and plumbing work.
2003-2004
In 2003-2004, an elevator and storage area were added to the War Memorial Building.
